ACS International School Cobham is seeking a Receptionist to work in our Lower School. The role is to support the academic staff in the smooth running of the school day and to support students and parents.
Working hours:
08:00 – 16:00, Monday to Friday, 35 hours per week, term time only/42 weeks per year.
Main Responsibilities:
- Manage in-person, telephone, and email queries from students, parents, external contacts, teachers, administrative staff, and school support staff.
- Provide a friendly, welcoming, helpful and efficient manner on the telephone, answering all calls promptly.
- Act as an ambassador to the ACS Cobham community.
- Monitor all Lower School email boxes and respond/share as required.
- Prepare end of day pick up change emails and send them to teachers.
- Report and follow up on requests for the Facilities Department, IT Department, porters etc.
- Ensure the reception area is organised, safe and tidy.
- Maintain and update the Principal/Assistant Principal calendars and the Lower School calendar; schedule parent appointments as needed.
- Prepare and post notices to Lower School families on Schoology as required.
- Work closely with the Divisional Secretary / PA to Head of School in preparing whole school documents.
- Oversee and maintain photocopiers.
- Assist with ad hoc duties as required.
- Provide basic first aid and escort students to the nurse as needed.
Additional Responsibilities include:
- Student attendance.
- Supporting the Transport Manager and be on call for drop off and pick up.
- Ensure checks for visitors and volunteers are completed with HR and the Assistant Principal and liaise with Security.
- Responsible for organising lost property.
- Assist with other duties as assigned by the Principal or Assistant Principal.
Person Specification
Knowledge and Experience
- Prior secretarial or administrative experience.
- Enjoy working with children.
- Competent in the use of Microsoft Office packages and Google drive.
Skills and Aptitudes
- Able to work autonomously at times on repetitive tasks but also as part of a team.
- Good level of interpersonal and communication skills, with a good standard of written and spoken English.
- A tolerant, flexible approach, smart appearance with an excellent telephone manner.
- Positive, organised, and capable of managing pressure effectively
- Compassionate, flexible, and approachable with a strong work ethic.
- Maintains confidentiality, integrity, and a sense of humour.
