ACS International Schools are recruiting a Transport Administrator to join our Hillingdon campus.

Job Purpose:

The Transport Administrator will work within the Transport Department and will be responsible for providing general support to ensure the smooth and efficient delivery of our student bus service. The role holder will work closely with the Transport Coordinator and will be accountable for the general administration support required to maintain high standards of service to students, staff, parents and other stakeholders.

ACS Hillingdon’s 11-acre campus is less than 14 miles from central London. Our magnificent Greater London campus has outstanding facilities, and a wealth of history, art and culture right on its doorstep.

Principal Accountabilities:

  • Ownership of inputting and managing busing data, into the school operational systems, (Power School).
  • Ensure that all information contained within Power School is accurate at all times.
  • Independently administer and reconcile Purchase Orders against Invoices.
  • Liaise with the School Fees team to investigate and correct any billing anomalies.
  • Independently administering all DBS Enhanced Certification Checks for Operators and Drivers.
  • Deputise for the School Receptionist during their lunch break.
  • Monitor the issuing of Parent, Staff and Student vehicle security stickers and maintain an up-to-date register showing all vehicles that are authorised to enter Campus.
  • Manage and obtain quotations for all Sports and other School Trips.
  • Assist in dealing with parents, students, colleagues and Operators queries by phone, email or in person in a helpful, supportive and proactive manner.
  • Deputise for the Transport Coordinator during holiday, sickness and other work commitments.
  • Manage the daily late busing operation.
  • Monitor the Transport Application and CCTV Cameras in support of the Transport Coordinator.
  • Undertake ad hoc duties and reporting as required

Qualifications, Knowledge, Skills and Experience Required:

  • Educated to GCSE level or equivalent
  • Good ICT literacy, including experience with MS Office (Word, Excel)
  • Good level of interpersonal and communication skills, with a good standard of written and spoken English
  • Good level of numeracy
  • Excellent interpersonal skills with a calm and steady manner
  • Works well under pressure and with low levels of supervision
  • Comfortable managing and prioritising a range of tasks.
  • Preferably previous experience in a Transport Office or a similar environment.

  • A high high degree of professionalism towards the role
  • A high level of initiative and enthusiasm
  • The ability to manage own workload and on own initiatives

Working Hours:

Monday to Friday, 10:00- 18:00 with an hour’s break, 35 hours per week. This is an all-year-round position.
