We are seeking an enthusiastic and highly organised Assistant Head of Sports and Activities to support the delivery of an ambitious and dynamic programme at ACS International School Hillingdon School. Reporting directly to the Head of Sports and Activities, the successful candidate will play a key role in the day-to-day management, coordination, and development of sport and activities across the school.

This is an exciting 1 year maternity cover opportunity for someone who is passionate about sport and student development, and who thrives in a fast-paced environment that combines coaching, programme management, and event coordination.

The Role
The Assistant Head of Sports and Activities will support the planning, delivery and ongoing development of the school’s sports and activities programme. Working closely with the Head of Department, the role includes operational coordination, coaching responsibilities, athlete development support, and oversight of key administrative functions.

Key responsibilities include:

Programme Delivery and Athlete Development

  • Support the delivery of the athletics programme across the school, including fixtures, tournaments, and training schedules.
  • Assist with sports science, strength and conditioning, and individual development initiatives within the Elite Performer Pathway (EPP).
  • Oversee individual performance plans for student athletes, reviewing progress and implementing strategies to support development.
  • Organise athlete workshops and liaise with external institutions to enhance training and development opportunities.

Coaching

  • Serve as head coach for at least one school team (stipended role).
  • Provide mentorship and support to student athletes while promoting a culture of excellence, teamwork, and personal growth.

Events, Fixtures and Trips

  • Assist with the organisation and delivery of fixtures, tournaments, and athletics events.
  • Coordinate logistics for athletics trips and visiting teams, including travel bookings, accommodation, transport, and documentation.
  • Liaise with visiting schools, internal departments, and external partners to ensure successful events and competitions.
  • Chaperone student trips when required.

Programme Administration and Communication

  • Maintain athletics databases, team lists, registers, archives, and risk assessments across school systems.
  • Coordinate communications with students, parents, coaches and staff, including weekly updates and travel information.
  • Support scheduling of fixtures, training sessions and transport logistics.
  • Assist with promoting the athletics programme through publications and school communications.

Operations and Resources

  • Support the management and inventory of athletics equipment and uniforms.
  • Assist with the organisation of athletics awards evenings and end-of-season celebrations.
  • Support the recruitment and onboarding of coaching staff, including maintaining employment documentation.

Health, Safety and Compliance

  • Oversee key health and safety processes, including coach inductions, medical cover for events, first aid provision and incident reporting.
  • Ensure safeguarding and student welfare procedures are followed for all events, trips, and activities.

Budget and Planning

  • Assist with monitoring the athletics department budget and supporting future financial planning.
  • Process purchasing requests and obtain quotes for equipment and programme needs.

Person Specification
We are looking for a candidate who demonstrates:

  • Strong organisational skills and the ability to manage multiple programmes, events and priorities simultaneously.
  • Excellent communication and relationship-building skills with students, staff, parents and external partners.
  • An understanding of athlete development and high-performance sporting environments.
  • Confidence working with data, schedules and digital systems to support programme administration.
  • A commitment to student wellbeing, safeguarding and the holistic development of student athletes.

Additional Expectations
The role requires flexibility, including occasional evening and weekend work to support fixtures, tournaments and school events. The postholder may also assist with PE class coverage when required.

Working Hours: 08:30 – 16:30 Monday to Friday, term time only, 35 hours per week

Start date: Ideally 21/04/2026

Contract: 1 year maternity cover

Salary: Dependent on experience

Location:  ACS International School Hillingdon, Vine Lane, Uxbridge, UB10 0BE
